Privacy Policy
5 Ten West Limited · UK corporate website
Last updated: 7 November 2026
This Privacy Policy explains how 5 Ten West Limited uses personal information when you browse our corporate website, send an enquiry, or communicate with us about business matters. Separate services may have their own privacy notices.
1. Who is responsible for your information?
5 Ten West Limited (company number 08965874) is registered in England and Wales. Registered office: Barttelot Court, Barttelot Road, Horsham, West Sussex, RH12 1DQ, United Kingdom. For privacy enquiries, contact [email protected].
For the corporate website and enquiries that we manage, we generally act as a data controller. Where we process information for a business customer under its instructions, that customer may instead be the controller.
2. Information collected through this website
- Contact-form enquiries: your name, email address, optional phone number, optional organisation, enquiry type and message.
- Emails and correspondence: details you send to us, and our replies.
- Technical and security information: our hosting infrastructure may log IP addresses, browser information, timestamps, requested pages and error or security events.
- Spam prevention: the form uses a hidden honeypot, server-side rate limiting and a third-party automated-abuse verification service. The verification service may receive technical information about your browser, device and IP address to assess whether a submission is automated. We do not intentionally pass the content of your message to the verification provider.
- Business contacts: where relevant, names, work contact details and correspondence relating to existing or prospective business relationships.
We normally obtain these details directly from you, or from an employer or business contact communicating with us. Please do not submit payment card information, passwords or other highly sensitive information through the contact form.
3. How and why we use personal information
| Purpose | Lawful basis under UK GDPR |
|---|---|
| Receiving and responding to website enquiries | Our legitimate interests in managing communications; or taking steps before a contract where requested |
| Following up on business or partnership discussions | Legitimate interests in operating and developing our business, or contract where applicable |
| Operating and securing the website, detecting spam and abuse | Legitimate interests in maintaining service availability and security |
| Keeping necessary financial or legal records | Compliance with legal obligations, or legitimate interests in establishing or defending claims |
Submitting the contact form does not automatically subscribe you to marketing emails or SMS messages. This corporate website does not currently contain an email-newsletter sign-up or online payment checkout.
4. How the contact form works
When you select “Send message”, your browser submits the enquiry over HTTPS to our PHP server handler. The server validates the fields, checks the honeypot and rate limit, and requires successful third-party security-token verification before attempting to email the enquiry to [email protected]. Your email address is used as a reply-to address. A confirmation means the server accepted the sending request, not that delivery to the inbox is guaranteed. The contact form does not require a PHP session or first-party contact-form cookie.
5. Cookies and analytics
We do not use Google Analytics, advertising pixels or behavioural advertising trackers on this corporate website. Our form uses a third-party security-verification service, which runs a browser-side check and may access or store limited technical information necessary to detect automated submissions, depending on its configuration and browser behaviour. The PHP form itself does not create a session cookie. The service can be necessary for protecting the contact form; see our Cookie Policy for further information. Our hosting infrastructure may also apply security measures.
6. Who may receive your data?
We also use an external anti-bot verification provider on our contact form. That provider processes technical browser, device and network information to evaluate the legitimacy of a submission, rather than receiving the message text submitted through the form.
We use a third-party email service provider to receive, store, organise and send business correspondence, including emails addressed to 5tenwest.com and messages submitted through our website contact form. Our email service provider may process message content, correspondence details and related technical information to deliver these services under applicable contractual and data-protection arrangements.
Our website hosting provider and associated infrastructure or technical service providers may process contact-form submissions, IP addresses, security events and server logs to host, operate and secure the website.
Authorised personnel may access correspondence for legitimate business purposes. Where necessary, we may share relevant information with professional advisers, contractors or business partners to deal with your enquiry or perform a service, or with public authorities where required by law. We do not sell contact-form information to advertisers.
7. International access and transfers
Our email service provider, website hosting provider and other infrastructure providers may process, host, support or permit access to data in locations outside the United Kingdom, depending on the services and data-centre arrangements associated with our accounts. Where personal data is transferred internationally, we will assess the applicable UK GDPR requirements and use a recognised transfer mechanism or other legally permitted arrangement where required. You can contact [email protected] for information about applicable safeguards.
8. How long information is kept
We generally aim to retain relevant business emails and correspondence sent to or from 5tenwest.com email addresses, including website contact-form enquiries, for five years from the last substantive communication. This is a standard business record-retention period, not an unconditional minimum: we may delete or anonymise information sooner where it is no longer necessary or where the law requires us to do so.
We may retain particular messages or records for longer than five years where a specific, documented reason continues to apply, such as an ongoing commercial relationship, contractual responsibilities, financial or regulatory record-keeping, a complaint, a dispute, or the establishment, exercise or defence of legal claims. We assess whether continued retention remains necessary and proportionate, and do not keep personal information indefinitely merely because it might be useful in the future.
We review retained information periodically, including when a relationship ends or we receive a relevant data-protection request. We delete or anonymise information when there is no longer a lawful reason to retain it, subject to any applicable legal obligations or exemptions. Email copies may also exist in our email service provider’s backups or retention systems for a limited period under the provider's technical and contractual arrangements.
Web-server access and security logs, and the form's temporary anti-spam records, are held for operational and security purposes and are managed separately from business correspondence. Their retention depends on our server and security settings; they are not subject to a blanket five-year email-retention rule.
9. Your rights
Depending on the circumstances and applicable exemptions, you may have rights to access and rectify your data, request erasure or restriction, object to processing, and obtain data portability. Where processing is based on consent, you may withdraw it. You have an unconditional right to object to processing of your personal data for direct marketing. Contact [email protected] to make a request. We may need to verify your identity.
10. Complaints
You can contact us first at [email protected]. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.
11. Other services and updates
This notice describes the corporate website, not every separate telephone, SMS, advertising or entertainment service associated with 5 Ten West. Such services may process additional information under separate terms and privacy notices. We will revise this policy if website functionality or data practices change.
